How do I share a worksheet with a colleague? How does sharing with collaborators work?

Share your worksheet with your colleagues so they can edit and evaluate it!
If you want to share a worksheet with your colleagues so they can edit and see the results together, go to the worksheet’s Share page and go to the Add Collaborators section. Please note that only users with a Redmenta subscription can add collaborators to a worksheet. Click here to upgrade to a Redmenta subscription.
Search for your Redmenta registered colleagues in the search box in the Add Collaborator section. You can search by their name or username for more precise matches. Once you find the user you are looking for, click on their name to add them.
After you add a colleague as a collaborator, you can set their permission level. If you don't change it, they will default to collaborator permission, and you can choose to be an observer or learner.
Collaborator: Collaborator permissions grant the right to edit the worksheet and review, mark, and approve completed work.
Observer: Collaborators with Observer permissions cannot edit the worksheet, but can review results, mark up students’ work, and provide feedback. They have access to all features on the Results page, including exporting to Excel, approving results, and more.
Learner: Collaborators with Learner permissions can only complete worksheets and have no other access permissions.
Worksheets shared with collaborators remain available until you remove them from your collaborator list or delete the worksheet. In the case of deletion, if the original editor of the worksheet deletes it (the person who created and deleted the worksheet), the worksheet is deleted everywhere. If you delete something as a collaborator, the worksheet is still available to the original editor and all other collaborators.
Tip: If you want to delete a shared worksheet, it’s a good idea to let your collaborators know in advance so they can create a clone before you delete it. A clone allows you to create a copy of the worksheet that is not associated with your account. So if you delete the original worksheet, it won’t affect your colleagues. They will still have a copy of the worksheet even if the original is deleted.
It is important to note that sharing with collaborators and students takes place in two separate sections. So far we have talked about adding collaborators, but if you want to share a worksheet with students or groups, you need to scroll down to the Share with Learners section, select a sharing level, and add students or groups to the worksheet share. You can add learners by name or username in the fields shown in the image.
You can assign learners the same roles as collaborators. The difference is that you can share worksheets with collaborators, even if the sharing level remains private.
Therefore, it is a good idea to distinguish between sharing with learners and sharing with collaborators in each case. For example, if you limit visibility of a worksheet to students and reset the sharing level to Private, collaborators will still be able to access and work on the worksheet, but students will not. In this sense, the sharing level applies only to students, and colleagues added to the collaborators field will be able to access the worksheet with the permissions you specify, regardless of the sharing level.
